Job Title: IT and administration specialistPosition summary:
We are seeking an IT and administration specialist to support and maintain our organization's information technology systems while also handling various administrative tasks. This dual role requires someone who is technically adept and able to manage office operations efficiently. The ideal candidate will have strong problem-solving abilities, excellent communication skills, and a keen attention to detail.
IT Responsibilities:
A. System administration:
1. Install, configure, and maintain hardware, software, and networks.
2. Perform regular updates to operating systems, software applications, and security patches.
3. Manage server environments and ensure efficient network performance.
B. Technical support:
1. Provide first-line technical support for IT-related issues to employees.
2. Troubleshoot hardware and software problems, resolving issues promptly.
3. Assist with network connectivity and system access issues.
C. Security management:
1. Implement and monitor cybersecurity protocols to protect the organization’s data.
2. Regularly back up data and ensure recovery processes are functional.
3. Monitor security systems and respond to any vulnerabilities or threats.
D. Documentation and reporting:
1. Maintain inventory of all IT assets (hardware, software, and licenses).
2. Document technical procedures, user guides, and system configurations.
3. Prepare regular reports on IT systems and usage.
Administrative Responsibilities:
A. Office management:
1. Organize and maintain office supplies and equipment.
2. Coordinate office activities and events, including meetings and conferences.
3. Handle incoming and outgoing correspondence (emails, phone calls, and mail).
B. Data management:
1. Manage and organize office files, both physical and digital.
2. Ensure all documentation is up-to-date and easily accessible.
3. Assist in the preparation of reports, presentations, and other administrative materials.
C. Scheduling and communication:
1. Schedule and coordinate meetings, appointments, and travel arrangements.
2. Act as a point of contact between management, staff, and external vendors.
3. Maintain office calendars and handle scheduling conflicts.
D. Support for staff:
1. Assist in onboarding new employees, providing IT setup and administrative support.
2. Provide ongoing administrative assistance to various teams as needed.
E. Software support:
