About the Job
Hours: Up to a maximum of 20 hours per monthKey Responsibilities:
A. Cost reduction & expense control (Primary objective):
1. Conduct a zero-based expense review across both companies
2. Identify unnecessary, duplicate, or low-ROI spend
3. Recommend immediate cancellations, renegotiations, or restructuring
4. Track realized savings monthly against baseline
5. Flag expenses that exist 'because they always have'
6. Success metric: measurable monthly cost reduction within 30–60 days
B. QuickBooks online architecture & cleanup:
1. Restructure the chart of accounts for clarity, audit-readiness, and decision-making
2. Separate operating, payroll, owner, reimbursable, and capital expenses cleanly
3. Ensure proper class and location tracking between entities
4. Eliminate misc and junk accounts
5. Expectation: books that tell the truth, not just balance
C. Weekly bookkeeping & close discipline:
1. Weekly transaction categorization and reconciliation
2. Weekly close cadence instead of monthly chaos
3. Maintain accuracy across multiple bank and credit card accounts
D. Payroll & labor cost oversight:
1. Oversee weekly payroll and payroll-related expense tracking
2. Monitor labor as a % of revenue where applicable
3. Identify overtime leakage, classification issues, and payroll inefficiencies
E. Weekly reporting:
1. Prepare concise, one-page weekly reports that clearly highlight cash burn and cash runway, expense versus budget variance, labor cost trends, vendor concentration risk, and actionable red flags, with a strong focus on clarity and decision-ready insights rather than bloated presentations
F. Expense tracking & analysis:
1. Analyze vendor-level spend
2. Audit subscriptions and SaaS tools
3. Track cloud and software costs
4. Identify expenses that scale incorrectly with revenue
