About the Job
Key Responsibilities:A. Executive & leadership support (High-impact EA work):
1. Act as the single point of coordination for directors and senior leadership
2. Manage complex calendars, priorities, meetings, follow-ups, and action items
3. Prepare leadership briefs, summaries, decision notes, and meeting outcomes
4. Ensure zero drop in commitments, deadlines, or leadership communication
5. Handle confidential information with absolute discretion and maturity
B. Strategic thinking & decision support (Think tank role):
1. Work closely with directors on: Business planning, strategic initiatives, new verticals/projects and process improvements
2. Break down leadership vision into clear operational roadmaps
3. Conduct research, benchmarking, and internal analysis for decision-making
4. Present structured insights, not raw data
5. Ask the right questions before executing
C. Operational excellence & process ownership:
1. Act as the central nervous system of daily operations
2. Track: Who is working on what, project timelines and dependencies and output vs expectations
3. Build, maintain, and improve SOPs, trackers, dashboards, and workflows
4. Ensure strong follow-up with: 2D & 3D teams, site supervisors and internal operations teams
5. Coordinate with MIS/FMS systems to ensure real-time visibility
D. Team leader & cross-functional coordination:
1. Support team leaders with: Planning, prioritization and review structures
2. Act as a bridge between leadership and execution teams
3. Ensure clarity of roles, responsibilities, and timelines
4. Track deliverables and flag risks before they become problems
E. AI, automation & systems thinking:
1. Use AI tools to: Improve productivity, generate reports & summaries, automate repetitive work, improve tracking and documentation
2. Continuously identify areas where: Manual effort can be reduced, errors can be eliminated and decision speed can be improved
3. Think like a process architect, not just a user
F. Reporting, documentation & communication
1. Prepare: Management reports, dashboards and weekly/monthly reviews
2. Ensure all leadership discussions are documented, tracked, and executed
3. Draft professional communication for internal and external stakeholders
4. Maintain structured digital documentation (not scattered files)
G. Special projects & high-ownership initiatives
1. Take ownership of strategic projects assigned by directors
2. Drive initiatives end-to-end: planning → execution → review
3. Work beyond job boundaries when required (startup mindset)
